Intake Coordinator/Office Manager

As the Intake Coordinator, you will play a crucial role in managing the front office operations and coordinating the intake process for new clients. You will serve as the first point of contact for individuals seeking therapy services and ensure a seamless experience from initial inquiry to intake assessment. Additionally, you will oversee administrative tasks to support the smooth functioning of the practice.

Key Responsibilities:

Client Intake and Scheduling:

  • Manage incoming inquiries from potential and existing clients via phone, and email.
  • Conduct initial screenings to assess client needs and determine appropriate services.
  • Schedule intake assessments and therapy appointments for new clients, coordinating availability with therapists’ schedules.
  • Maintain accurate records of client intake information and scheduling details.

Billing and Insurance Verification:

  • Verify clients’ out-of-network insurance coverage and benefits.
  • Prepare and submit insurance claims, superbills, and billing statements for client sessions.
  • Assist clients with understanding insurance coverage and payment options.
  • Manage billing for the practice.

Administrative Support:

  • Update the database to track client calls/emails.
  • Track key performance indicators.
  • Assist in hiring/onboarding process.
  • Assist therapists with administrative tasks, such as preparing client files, scheduling follow-up appointments, and managing documentation.
  • Assist with data entry, record-keeping, and maintaining electronic health records (EHR) system.

Team Collaboration:

  • Collaborate with therapists and other staff members to coordinate client care and ensure smooth communication and workflow.
  • Participate in staff meetings and training sessions as required.
  • Provide support and assistance to colleagues as needed to promote a cohesive team environment.

    Qualifications:

      • At least 2 years of prior experience in a similar role, preferably in a mental health or healthcare setting.
      • Cultural awareness and sensitivity to diverse backgrounds and experiences.
      • Strong communication, with the ability to interact effectively with clients and colleagues.
      • Excellent organizational skills and attention to detail.
      • Proficiency in computer applications such as Microsoft Office and electronic health records (EHR) systems.
      • Knowledge of insurance billing procedures and terminology.
      • Ability to maintain confidentiality and handle sensitive information with professionalism and discretion.
      • Be independent and reliable self-starter who can take initiative and problem-solve.
      • Possess excellent interpersonal skills; able to get along well with a diverse group of people, co-workers, and team members.
      • Be warm, engaging and welcoming to clients while maintaining professionalism.
      • Have a high level of English verbal communication skills.
      • Be able to write clearly and concisely.
      • Have experience with medical billing.
      • Possess sound judgment capabilities.
      • Be able to flexibly prioritize work according to level of importance.
      • Be proficient with Microsoft, Excel, Google Workspace and able to operate basic office equipment.

        Preferred Qualifications:

        • Bachelor’s degree in psychology or related field.

          Compensation:

          • Competitive (starting- $20.00 an hour).
          • Flexible Earning Potential: quarterly compensation evaluation.

            Schedule:

            • At least 30 hours a week (Monday through Friday).
            • Primarily a remote position.
            • Must reside in Maryland and commit to up to four hours of in-office work a week.

                We are hiring part-time and full-time therapist(s) who are warm, engaging, motivated, and collaborative. We have a friendly team environment and a “door knock and talk” atmosphere.

                This is an excellent opportunity for licensed therapists looking for flexible hours to build a caseload with motivated, high-functioning clients.

                Qualifications:

                • Master’s or Doctoral Degree in Counseling, Psychology, or related field.
                • Current State of Maryland license (Psy.D., P.hD., LCSW-C, LMSW, LCPC, LMFT)
                • Strong work ethic (professional communication, thoroughness, punctuality, timeliness of clinical notes/duties, ethics).
                • Commitment to a workplace culture of collaboration, and mutual respect.
                • Willingness to market yourself (networking, blogging and/or social media).
                • Able to maintain at least 10 client sessions per week, provided such sessions are available and referred/scheduled by New Connections.

                Preferred Qualifications:

                • Trauma-Informed Practice: training and/or experience in trauma-informed treatment modalities such as TF-CBT and EMDR.
                • Experience in Couples Counseling: proven experience providing couples counseling services with a diverse range of clients.
                • Interest in facilitating group therapy.
